About the Role

MyMarketingPass is a fast-growing hybrid software company seeking an Executive Liaison to serve as Mission Control to the CEO. This is not a typical assistant role — it’s a blend of executive support, operations coordination, and personal organization. You’ll help keep the CEO’s world running smoothly by managing professional duties, travel, and personal scheduling with precision and foresight.

You’ll be at the center of communication and coordination — managing calendars, people, projects, and workflows; ensuring accountability; keeping logistics tight; and bringing forward ideas that make everything run better.

We need someone who’s friendly and professional, but unafraid to be firm — someone who knows when to follow up, when to escalate, and when to simply make it happen.

What You’ll Do

Attend and document key calls and meetings, capturing next steps and ensuring follow-through.
Coordinate calendars for both business and personal scheduling.
Manage travel logistics — flights, accommodations, transportation, and real-time coordination during travel.
Handle personal appointments and arrangements with discretion and care.
Track company requests and workflows to ensure tasks are progressing and communication stays clear.
Follow up with team members when deadlines slip and escalate when necessary.
Operate and organize company systems (FreshDesk, GoHighLevel, Keap, Google Drive, vendor portals).
Communicate confidently with vendors, clients, and internal team members.
Suggest and implement process improvements that increase efficiency and accountability.

Daily Workflow

Attend calls, take notes, and execute follow-ups.
Maintain the CEO’s calendar, inbox, and priorities.
Manage communication and task flow between departments.
Arrange and oversee all travel details and itineraries.
Verify project quality using detailed checklists.
Submit vendor requests and confirm completion and accuracy.
Keep files and assets organized within Google Drive.

Required Skills

Excellent written and spoken English.
Strong organizational and multitasking abilities.
Confident, direct communicator — follows up with authority and respect.
High attention to detail and commitment to excellence.
Tech-savvy and fluent across multiple tools and platforms.
Able to prioritize, act decisively, and stay composed under pressure.
Discreet and professional when handling personal information.
