We are seeking a highly organized and proactive Executive Assistant to provide exceptional support to senior management. The Executive Assistant will act as a trusted partner to executives, ensuring their daily operations run smoothly, enabling them to focus on strategic goals and initiatives. This role requires a high level of confidentiality, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.

Responsibilities:

Administrative Support and Coordination: Manage executive calendars, schedule meetings, and coordinate travel arrangements while ensuring an efficient workflow throughout the day
Scheduling and Prioritization: Act as a gatekeeper to prioritize and organize time-sensitive matters, balancing competing demands effectively
Meeting Facilitation: Prepare agendas, take minutes, and follow up on action items from meetings with senior executives
Document Handling: Draft and edit correspondence, manage executive files, and prepare presentations to assist in executive decision-making
Communication Management: Act as the first point of contact for internal and external stakeholders, ensuring smooth communication on behalf of executives
Project Management Support: Assist executives in tracking deadlines, managing special projects, and coordinating cross-functional team efforts
Confidentiality and Discretion: Maintain a high level of professionalism and confidentiality when managing sensitive information related to executive tasks and organizational operations
Event and Travel Planning: Oversee logistics for executive events, conferences, and travel

Qualifications:

Proven experience as an executive assistant or in a similar administrative role supporting senior leadership
Exceptional organizational and time management skills with the ability to prioritize multiple tasks and deadlines
Strong written and verbal communication skills
High level of proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with collaboration tools (e.g., Teams, Zoom)
Ability to maintain a high degree of professionalism and integrity when handling confidential matters
Proven ability to work independently and take initiative to drive tasks forward
